About the Role
We are seeking a friendly, organised and proactive Nursery Administrator to join our warm and family-focused nursery team. This is a key role within the setting, providing administrative support while acting as a welcoming first point of contact for children, families, visitors and external professionals.
The successful candidate will be highly organised, confident communicating with parents and professionals, and committed to supporting the smooth day-to-day running of the nursery.
Key Responsibilities
Administration
• Manage the nursery reception area and welcome visitors.
• Answer telephone calls and respond to emails in a professional and timely manner.
• Maintain accurate child, parent and staff records.
• Support nursery management with general administrative tasks.
• Prepare letters, forms and other documentation as required.
Parent & Family Support
• Handle enquiries from prospective families.
• Conduct nursery tours and welcome visits.
• Manage child registrations, admissions and waiting lists.
• Support families with enrolment paperwork and documentation.
• Build positive relationships with parents and carers.
Finance
• Prepare and issue nursery invoices.
• Monitor payments and follow up outstanding balances.
• Maintain accurate financial records and filing systems.
• Support funding applications and documentation where required.
Facilities & Maintenance
• Log maintenance issues and coordinate repairs with contractors.
• Monitor health and safety documentation and compliance records.
• Ensure servicing and maintenance schedules are up to date.
• Order office supplies and nursery resources when required.
Compliance & Record Keeping
• Maintain confidentiality in line with GDPR requirements.
• Ensure records are accurate, secure and up to date.
• Support the nursery in meeting regulatory and inspection requirements.
Person Specification
Essential
• Excellent organisational and administrative skills.
• Strong verbal and written communication skills.
• Confident using Microsoft Office and email systems.
• Ability to prioritise workload and work independently.
• Professional, friendly and approachable manner.
• Good attention to detail.
• Commitment to safeguarding and promoting the welfare of children.
Desirable
• Previous administration or reception experience.
• Experience working in an Early Years, education or childcare setting.
• Knowledge of nursery management software.
• Understanding of childcare funding processes.
